Record availability and roles first
Collect and review team availability before assigning shifts. Resolve known overlaps or conflicts, then maintain the people, roles, and agreed weekly hours needed for the plan in the “Team” sheet. Add only information required for the shift; private contact details do not belong in the template.
Enter start, end, and breaks consistently
Enter start and end as times and unpaid breaks as minutes. “Working time (hrs.)” subtracts the break automatically. The MOD formula also handles overnight shifts whose end falls after midnight.
Keep draft and published schedules distinct
Use “Draft” while timing or staffing remains open. Choose “Published” only after the schedule is internally approved for the team. “Open” marks a row with no planned shift.
Limits of the template
The template supports planning but does not automatically validate every collective-agreement, youth-employment, or operational exception.
