Before you start

Choose the correct workplace and service day. This full workflow needs Tips and Revenue access, Timesheets permission to confirm hours, and Schedule permission when publishing shifts. Changing the tip method or rules requires Business settings access. Configure the method and eligible roles first, and prepare the source sales/tip report and actual worked times. The recording uses Tip Sharing; Tip Pool has different entry fields.

Follow the steps

  1. Open the correct service day

Open Schedule, select Day view and navigate to the service day you are reconciling. Find Tips & Revenue below the schedule. Check the workplace and operating-day cutoff so late-night work and receipts belong to the intended service day.

  2. Enter the source totals

With Tip Sharing, enter the relevant server's food sales, drink sales and tips from your source report. Entries save as you type. Wait for the saved/calculated status, check the amounts and reconcile the total with the report before continuing. Automatic POS imports are not required for this manual workflow.

  3. Review the calculated distribution

Check each server's contribution and the support staff shares. The calculation follows the tip method and rules configured for your workplace. The recording's 3% of food sales and 5% of tips are example rules, not universal defaults or a recommendation for every business.

  4. Check and confirm actual worked hours

After the shifts have ended, open the individual confirmation dialog and correct worked start or end times when needed. Publish drafts and pending time changes before confirmation; Publish & Confirm Hours can combine those steps. The bulk action uses stored planned start and end times, so correct actual times individually before using Publish & Confirm All. Publishing makes those shifts visible to the team. Resolve all relevant confirmation requirements, including coworkers whose hours affect support shares.

  5. Record money you have actually collected or paid

Mark a server's contribution when you have collected it, then mark each support person's payout after paying them. These marks record your real-world actions. They do not collect card funds, send a bank transfer or pay wages.

  6. Confirm the record and lock the tip day

Once the amounts, hours and actual payments have been checked, Confirm payout marks remaining eligible payouts as paid and locks the tip day once all persisted payouts are settled. If everything was checked individually, use Finalize & Lock Day. Review the record on the Tips page. Confirm only when the paid status accurately reflects what happened.

What to know about this recording

Does Confirm payout transfer money?

No. The recording's phrase 'pays the rest' describes updating the payout records. The actual collection and payment happen outside ShiftPriority.

What is locked?

The lock finalizes this tip-sales and payout workflow. It does not make every record for that calendar day immutable. A manager with Tips permission can use Unlock to Edit to reopen the tip day. Unlocking does not reverse any real payment. Recalculation can replace payout records with unpaid records, so reconcile previous real payments before marking anything paid again.

Which distribution rules should I use?

Use the method and eligible participants agreed for your workplace and check the applicable rules. Support shares normally follow paid hours, but a group can be configured for an even split. Configured role percentages and their source can also change the result. Role configuration, the worked role and Receives tips determine participation. The example percentages and hour-based split are specific to the demonstration.
